Why This Matters for Research Administrators
Writing budget justifications is a common time-intensive pre-award task, requiring careful cross-referencing between budget figures, fringe rates, indirect cost calculations, and the project narrative. This workflow automates that process while maintaining accuracy: all dollar amounts and rates are read directly from your source documents, and derived values (fringe, indirect costs) are computed from those source amounts with the arithmetic shown explicitly for verification. If information is missing, the workflow flags it rather than filling in a guess. It also performs cross-validation across all budget sections, flagging inconsistencies or budget items that may need additional justification. The output’s final cross-validation notes section is for the RA’s internal review only and should be deleted before submission to the sponsor. After removing these notes, and addressing any flagged items, you will then possess a polished, sponsor-ready document that would have taken much longer to create and review for accuracy.
How to Use This Resource
To run the Budget Justification Generator in Vandalizer, you will need to upload at least the following documents:
- A budget document, such as an R&R Budget Form (SF-424R&R), SF-424A, or a budget spreadsheet in Excel or PDF format
- A project narrative or research plan
- Optionally, you can also include a NOFO/RFA to enable agency-specific formatting rules, F&A rate cap checks, cost share requirements, and page limit guidance for the justification itself.
Once you have these documents:
- Select the documents from your files
- Go to the explore tab
- Find the “Budget Justification Generator” workflow
- Attach a Knowledge Base to Step 1 (Knowledge Base Context Lookup) — OMB Uniform Guidance (2 CFR 200) is the recommended default; swap in NIH Grants Policy Statement, NSF PAPPG, DOE Financial Assistance Rules, or DOD Research Funding & DFARS for those agencies
- Run the workflow on the documents
The workflow accepts documents with extractable text and spreadsheets (Excel/CSV). For best results, include both the budget and the project narrative, when the budget form is Excel-only, parsing can vary, so a parallel PDF narrative serves as a more reliable extraction surface. Once processed, your output will be a structured markdown budget justification narrative.
